Introduction

The data tab is the new home for Impactive’s data reporting feature. The functionality is designed to help campaigns easily access and export data reports by offering seven templates: data reports for actions, contacts, messages, user activity by type, user activity - all, leaderboard and tags & custom fields.

How it works

Admins can now use templates to export reports for the following data use-cases.

  • Actions - All Types
    • Export a list of all actions filtered by date - or for all time.
  • Contacts
    • Export all contacts with any of the selected tags or custom fields from any contact list(s).
  • Messages
    • Export all messages sent, filtered by the message sent date, type of action or specific actions by any user list(s).
  • User Activity by Type
    • View action results for a selected list of users or all users. Filter by user activity date, type of action or by specific actions.
  • User Activity - All
    • View engagement for a list of users or all users. Filter by user-activity date.
  • Tags & Custom Fields
    • Export all contacts with their Tag and Custom Field values
  • Leaderboard
    • Create an export that shows a leaderboard for the chosen team that can be filtered by date, type of action or specific actions.

The templates themselves include filtering tools, which allows admins to easily segment their reports exports by date, and by specific attributes like actions, tags, user lists and custom fields. 

The tool also offers a recurring report automation, which enables admins to schedule recurring deliveries of a report to their email inbox on a daily, weekly and monthly basis.

Accessing the data tab

You can access the data tab by clicking on the Impactive sidebar and clicking on the “Data” tab.

You will then land on the data tab page. The page includes the list of 7 campaign report templates under “Campaign Reports” and a summary of all exports under “My Exports”.

Creating a report

Creating a report is easy. Simply navigate to your desired export type by use-case under “Create a new export” and click through the export title to initiate the export workflow.

If you are unsure of what’s included in each report, click on the “Preview” button to open an example table of which columns are included in the report.

After clicking through a template, Impactive will open up a modal that will allow you to optimize the report settings.


All reports have a set of required attributes:  “Report Name” and “Export Frequency”. Name your report under “Report Name” and toggle either a one-time report or recurring report under “Export Frequency”.


*Pro-tip*: keep your report names easily identifiable. Using nested naming structures like name of admin, report type, and/or dates ie “Abe - Actions (F2F) - 4/1/21” helps you locate your reports under the report's summary much more easily.


Next, should you want to add additional filtering to your report, use the date dropdowns and report specific dropdowns to filter by those attributes. The data tables below show each template and its unique filters.

Actions - All Types

Create an export showing all actions filtered by date - or for all time.

Unique filters:

Folder - exports actions by actions folder

Action type - exports actions by specific action type (peer-to-peer, friend-to-friend, etc…)

Action filter - exports actions by specific action; items are organized by name

Contacts

Create an export showing a list of contacts which can be filtered by tags or custom fields.

Unique filters:

Tags - exports contacts with particular tags appended to them

Custom fields - exports contacts by custom fields*

Contact list - exports contacts by contact list; organized by list name

*Note: does not organize by particular custom field values. We encourage you to filter for these values in the CSV.

Messages

Create an export that shows a list of all messages filtered by date, type of action or specific action and by user list.

Unique filters:

Action type - exports messages by specific action type (peer-to-peer, friend-to-friend, etc…)

Action filter - exports messages by specific action; items are organized by name

Select a User List - exports messages by all users in a particular user list

Select a User List - exports user activities by all users in a particular user list

Action type - exports user activities by specific action type (peer-to-peer, friend-to-friend, etc…)

Action filter - exports user activities by specific action; items are organized by name

User Activity - All

Unique filters:

Select a User List - exports user activities by all users in a particular user list

Export all contacts with their Tag and Custom Field values

Unique filters:

Select a Contact List, Tags, or Custom Fields

Leaderboard

Create an export that shows a leaderboard for the chosen team that can be filtered by date, type of action or specific actions.

Unique filters:

Select a team and or action type

 

 

Finally, if you feel comfortable with your reports. Click “create” and the report will be emailed to you within 0-3 minutes for one-time reports or by the desired frequency for recurring reports.

Exports are sent to the administrator’s inbox with a CSV download link and a clear name of the report type. 

Other workflows

Accessing existing reports

Need to revisit a report? Scroll down to “My exports” to find a list of previously created reports. Find your report, navigate to the "View Exports" column and click "Download" to download the report as a CSV.

Disabling a recurring report

Do you no longer need a recurring report? Find your report in “My exports” and navigate to the “...” button. Click deactivate to disable the recurring report. Should you want to enable the recurring report again, activate the report under “...” once again.

FAQs

What do specific columns mean?

Our legacy reporting documentation has a great breakdown of the specific meaning of data in particular columns. Note, the names of each export are slightly different in the legacy reporting feature, but the data columns mostly follow the same names.

What’s this? I want to use the old export features

Rest assured, you can continue to use our legacy export features on the Impactive admin. This functionality is still accessible wherever you were previously pulling these reports.
