Introduction

The Exports page of the Data tab is designed to help campaigns easily access and export data reports by offering customizable templates.

The Exports page includes a complete list of the exports previously pulled by your campaign so your team can easily revisit them at any time by clicking “Download.”

On a high level, the exports table includes: report name, frequency, the export type, the email of the user who requested the report, the status of the export, and a link to download the export.

Note: You can also create exports from other tabs within the admin dashboard. For example, contacts can be exported from the Contacts tab, etc. Some of these exports are also customizable, others will automatically send you an email with the export. Whenever you create a customized export from a different tab, it will always be listed in the Data > Exports tab.

Creating a Report

Creating a report is easy. Under the header Exports, you will be able to Create a New Export by clicking ‘+ New Export’.

Below the header Create a New Export, navigate to your desired export type and click through the export title to initiate the export workflow. If you are unsure of what’s included in each report, click on the Preview button to open an example table of which columns are included in the report. Once you have selected your export template, Impactive will open up a modal that will allow you to customize the report settings.

All reports have a set of required attributes: Report Name and Export Frequency. Name your report under Report Name and toggle either a one-time report or recurring report under Export Frequency.

  • *Pro-tip*: keep your report names easily identifiable. Using nested naming structures like name of admin, report type, and/or dates. (i.e. “Abe - Actions (F2F) - 4/1/21”) helps you locate your reports under the report's summary much more easily.

Customizing Reports

Next, we will walk through each different report type, highlighting use cases for using each and the different filters and options for each report type.

Actions - All Types

Create an export showing all actions filtered by date - or for all time. This export can be used to compare the results across several actions, or to identify the number of messages that “Needs Attention” from a specific peer-to-peer texting action.

Create a new Actions - All Types export using the following fields:

  1. Enter a Report Name (required)

  2. Select the Export Frequency (Send one-time export or Set up a recurring report) (required)

  3. Select a Folder: exports actions by actions folder

  4. Select Action Type: exports actions by specific action type (peer-to-peer, friend-to-friend, etc…)

  5. Select Specific Action(s): exports actions by specific action; items are organized by name

  6. Click “Create”

Contacts

Create an export showing a list of contacts which can be filtered by tags or custom fields. For example, if you wanted to see a list of contacts who are interested in volunteering you could customize the report to only include folks with the tag “Volunteer-Yes”.

Create a new Contacts export using the following fields:

  1. Enter a Report Name (required)

  2. Select the Export Frequency (Send one-time export or Set up a recurring report) (required)

  3. Select the contact list type (Contact Lists or Broadcast/Opt-ins)

  4. Select a Contact List: exports contacts by contact list; organized by list name

  5. Select Tags: exports contacts with particular tags appended to them

  6. Select Custom Fields: exports contacts by custom fields*

  7. Click “Create”

Messages

Create an export that shows a list of all messages filtered by date, type of action or specific action and by user list. The messages export can be used to access more detailed reporting on errors or to look up specific conversations.

Create a new Messages export using the following fields:

  1. Enter a Report Name (required)

  2. Select the Export Frequency (Send one-time export or Set up a recurring report) (required)

  3. Select a User List: exports messages by all users in a particular user list

  4. Select Message type: exports messages by specific action type (peer-to-peer, friend-to-friend, etc…)

  5. Select Actions and Opt-in Forms: exports messages by specific action; items are organized by name

  6. Click “Create”

User Activity by Type

Create an export that shows engagement with actions for a list of users (or all) for a type of action or for specific actions. For example, get performance stats for particular volunteers by action or action type.

Create a new User Activity by Type export using the following fields:

  1. Enter a Report Name (required)

  2. Select the Export Frequency (Send one-time export or Set up a recurring report) (required)

  3. Select a User List - exports user activities by all users in a particular user list

  4. Select Action Type - exports user activities by specific action type (peer-to-peer, friend-to-friend, etc…)

  5. Select Specific Action(s) - exports user activities by specific action; items are organized by name

  6. Click “Create

User Activity - All Export

Create an export that shows engagement with actions for a list of users (or all) for a type of action or for specific actions. This export can be used to show performance stats of particular volunteers in real-time.

Create a new User Activity - All export using the following fields:

  1. Enter a Report Name (required)

  2. Select the Export Frequency (Send one-time export or Set up a recurring report) (required)

  3. Select a User List: user activities by all users in a particular user list

  4. Click “Create”

Tags + Custom Fields

The Tags + Custom Field export pulls a report of all contacts with their Tag and Custom Field values.

Tags and custom fields contain survey questions and tag information that is critical for reporting on campaign progress such as:

  • Support IDs

  • Volunteer Prospects

  • Voter Registration

  • and more!

The Tags + Custom Fields export is ideal for viewing > 1 list of information at a time. If you’re looking to only review the tags and custom fields reported in a single action it may be easier to reference the “View Results” page of the action.

Create a new Tags + Custom Fields export using the following fields:

  1. Enter a Report Name (required)

  2. Select the Export Frequency (Send one-time export or Set up a recurring report) (required)

  3. Select a Contact List: exports contacts by contact list; organized by list name

  4. Select Tags - exports contacts with particular tags appended to them

  5. Select Custom fields - exports contacts by custom fields

  6. Click “Create

Teams Summary

With the ‘Teams - Summary’ report, you can view an internal leaderboard of team leaders and members, their point counts, rank, performs, etc.

Create a new Teams Summary export using the following fields:

  1. Enter a Report Name (required)

  2. Select the Export Frequency (Send one-time export or Set up a recurring report) (required)

  3. Choose Dates - Filter for all dates or enter a custom date range

  4. Select Action Type - exports user activities by specific action type (peer-to-peer, friend-to-friend, etc…)

  5. Click “Create

Links - Summary

With the Links - Summary report, users can now export all of their campaigns Impactive or Custom links. The export can be filtered by date, and shows each link’s original and trackable link URL, date of creation, date last updated, and the number of clicks gathered so far.

Create a new Links - Summary export using the following fields:

  1. Enter a Report Name (required)

  2. Select the Export Frequency (Send one-time export or Set up a recurring report) (required)

  3. Choose Dates - Filter for all dates or enter a custom date range

  4. Click “Create

Links - Clicks

Admins can use the "Links - Clicks" export to find a record of clicks for a specific link. This report displays when the link was clicked, data about the source of the click, and information about the contact who clicked the link (when available). The report can be filtered by date, or can be run for all time. Use this export to track conversions.

Create a new Links - Clicks export using the following fields:

  1. Enter a Report Name (required)

  2. Select the Export Frequency (Send one-time export or Set up a recurring report) (required)

  3. Choose Dates - Choose to export for all dates (all-time) or by a custom date range

  4. Select a Link (required)

Users

Export user information and performance data for all users. This export includes a full roster of your current and historic users and can be used for mail merges.

Create a new Users export using the following fields:

  1. Enter a Report Name (required)

  2. Select the Export Frequency (Send one-time export or Set up a recurring report) (required)

  3. Choose Dates - Choose to export for all dates (all-time) or by a custom date range

  4. Select a User List - exports user activities by all users in a particular user list

  5. Select Action Type - exports user activities by specific action type (peer-to-peer, friend-to-friend, etc…)

  6. Select Specific Action(s) - exports user activities by specific action; items are organized by name

  7. Use the “Is Active User” toggle to only export active users (users that have not left the campaign)

  8. Click “Create

The “Status” column in the export differentiates between users who are active or who have left the campaign: meaning current, active users are labeled "active" volunteers. Otherwise, if the users have left the campaign, meaning they have quit the campaign on the mobile or web app by unclicking the "+Join" button, those users will be labeled "left campaign". This will let you filter by active and inactive volunteers in the spreadsheet, to improve your volunteer segmentation outside of Impactive.

The Users Export also includes performance stats for each action in the spreadsheet. Use the following columns, to see how many times a user has performed a particular type of question.

User Reports - Summary

With the new ‘User Reports - Summary’ export, admins can see the total number of times that a tag or custom field value was reported for a contact across actions. The export’s filters allow admins to see data for a specific date range or at the action-level. Access the export from the Exports tab or from the Peer-to-Peer, Friend-to-Friend, and Canvassing tabs.

Create a new User Reports - Summary export using the following fields:

  1. Enter a Report Name (required)

  2. Select the Export Frequency (Send one-time export or Set up a recurring report) (required)

  3. Choose Dates - Choose to export for all dates (all-time) or by a custom date range

  4. Select Action Type - exports user activities by specific action type (peer-to-peer, friend-to-friend, etc…)

  5. Select Specific Action(s) - exports user activities by specific action; items are organized by name

  6. Click “Create

Actions - User Reports

With the ‘Actions- User Reports’ export, admins can see the name, contact information, VAN ID, and Voterbase ID for the contacts that their users report on during outreach activities. This report can be filtered by an action type, specific actions, a user list, tags, or custom fields, for a specific date range or for all time.

Create a new Actions - User Reports export using the following fields:

  1. Enter a Report Name (required)

  2. Select the Export Frequency (Send one-time export or Set up a recurring report) (required)

  3. Choose Dates - Choose to export for all dates (all-time) or by a custom date range

  4. Select Action Type - exports user activities by specific action type (peer-to-peer, friend-to-friend, etc…)

  5. Select Specific Action(s) - exports user activities by specific action; items are organized by name

  6. Select a User List - exports user reports by all users in a particular user list

  7. Select Tags - exports user reports with particular tags appended to them

  8. Select Custom Fields - exports user reports by custom fields

  9. Click “Create

Scripts - Summary

View performance of initial scripts for the selected action type. Filter by date, a specific action, tags, custom fields, or response scripts. This is helpful for A/B testing to see which scripts were most effective.

Create a new Scripts - Summary export using the following fields:

  1. Enter a Report Name (required)

  2. Select the Export Frequency (Send one-time export or Set up a recurring report) (required)

  3. Choose Dates - Choose to export for all dates (all-time) or by a custom date range

  4. Select Action Type - exports user activities by specific action type (peer-to-peer, friend-to-friend, etc…)

  5. Select Specific Action(s) - exports user activities by specific action; items are organized by name

  6. Select Tags - exports user reports with particular tags appended to them

  7. Select Custom Fields - exports user reports by custom fields

  8. Select Response Scripts - select none or choose a specific response script you would like data about

  9. Click “Create

Phone Banking Calls

Export a record of contact, user, can call information from phone banking actions.Use the export to see a record of the calls placed and completed between volunteers and contacts, filterable by a specific action, date, user list, contact list, tag, or custom field.

Create a new Phone Banking Calls export using the following fields:

  1. Enter a Report Name (required)

  2. Select the Export Frequency (Send one-time export or Set up a recurring report) (required)

  3. Choose Dates - Choose to export for all dates (all-time) or by a custom date range

  4. Select Specific Action(s) - exports user activities by specific action; items are organized by name

  5. Select a Contact List: exports contacts by contact list; organized by list name

  6. Select a User List - exports user reports by all users in a particular user list

  7. Select Tags - exports user reports with particular tags appended to them

  8. Select Custom Fields - exports user reports by custom fields

  9. Click “Create

Export Registrations

The Voter Registration export is accessible from a Voter Registrations action’s View Results’ page it’s labeled ‘Export Registrations.’ The export includes the following columns:

    • team_id: ID of voter’s team

    • activity_id: ID # of the Voter Registration action

    • referrer: Name of the contact who referred the voter

    • sms_opt_in: Whether or not the voter opted in to receive SMS texts

    • email_opt_in: Whether or not the voter opted in to receive emails

    • date_of_birth: Voter’s date of birth

    • referral_link: View contact referral links

    • team_leader_ids: View the leaders of a team, if any

    • registration_status: View the status of the voter - Unregistered, Registered, Unable to Vote, Different Address, Referral Link

FAQs

What do specific columns mean?

Visit our previous reporting documentation for a great breakdown of the specific meaning of data in particular columns. Note, the names of each export are slightly different in the previous reporting feature, but the data columns mostly follow the same names.

What’s this? I want to use the old export features.

Rest assured, you can continue to use our previous export features on the Impactive admin. This functionality is still accessible wherever you were previously pulling these reports.
