Coordinated Campaigns

Overview

Seamlessly share campaign data to affiliated organizations using the coordinated campaigns feature. This feature is only available on the enterprise plan. To upgrade to an enterprise plan please reach out to [email protected] for more information.

How it works

The coordinated campaigns feature allows a “parent campaign” Impactive license to share particular tags, custom fields, sync instructions or actions data to specific or all affiliated “child campaigns”.

Once a parent campaign shares data down to a child campaign, the data is available to be used in their license.

The child campaign can use the tag, custom fields or sync instructions immediately as a standardized “template”. Or, if the child campaign is looking to tweak the data, they can access the tag, custom field, or sync instruction settings and customize them (the exception being Actions, which need to be copied in Edit Action in order to customize).

Campaigns can designate any license as the parent campaign, although Impactive recommends designating the primary campaign, national headquarters, or lead organization Impactive license as the parent campaign.

Setup and administration

The parent campaign is configured through the Impactive back end. Impactive can configure this on behalf of admins. Enterprise campaigns can email [email protected] with the name of the license that needs to be designated as the parent campaign.

Child campaigns are automatically configured in Impactive as they are already affiliated with the parent by an affiliation code.

Once campaigns are configured, Impactive elegantly lists parent campaigns on top of child campaigns in the My Campaigns section of the admin.

Here, admins can easily visualize and measure campaign metrics like volunteer totals, actions performed and SMS sent as they pertain to the overall affiliated campaign network.

Sharing data

When it comes to sharing data, parent campaigns are in the driver’s seat. Admins can steer affiliates towards standardized actions, tags and custom fields, or sync instructions.

Actions

On the parent campaign, admins can share any action with their affiliates by visiting the actions summary page under Actions > finding and clicking on the “...” button and clicking on Sharing Options.

This reveals the action sharing window. Admins can select particular campaigns to share their action with. Once an admin clicks on “save changes”, an action with the same settings, scripts and custom settings will be created in the selected child campaign.

Actions are then shared over in the “Drafted” publishing status to child campaigns by default.

To publish the action, child campaign admins can simply make the action “Public” or send it to a user list.

By default, shared actions cannot be customized to encourage standardization; however, admins can click “Copy” on “Manage actions” to create an editable copy of the action.

Lastly, child campaigns can find the newly shared action in the Actions sidebar tab in their campaign. Shared actions will show the parent campaign’s name listed in the Shared by column.

Tags or Custom Fields

Parent campaigns can share tags and custom fields to affiliates by navigating to the appropriate section in Data > Tags or Custom Fields.
For example, for tags, admins can navigate to Data > Tags navigate to the tag section, navigating to the tag they’d like to share and clicking on the “...” button. Finally, to update sharing, an admin should click on Edit Sharing.

This reveals the tag sharing window. Admins can select particular campaigns to share their data with. Once an admin clicks on “save changes”, the tag is shared with the appropriate campaigns.

Child campaigns can find the newly shared tag in the Data > Tags or Custom FIelds sidebar tab in their campaign. Shared tags will appear the parent campaign’s name listed in the Shared by column.

Custom fields operate in the same way, so admins should follow the same instructions on the Data > Custom Fields when sharing custom fields.

Sync instructions

Parent campaigns can keep their NGP VAN instances in sync across the affiliate umbrella using shared sync instructions.

Parent campaigns can share sync instructions to affiliates by navigating to the appropriate section in Data > Integrations > scrolling down to the sync instructions > navigating to the sync instruction they’d like to share and clicking on the “...” button and clicking on Edit Sharing.

This reveals the sync instruction sharing window. Admins can select particular campaigns to share their sync instruction to. Once an admin clicks on “save changes”, the sync instruction is shared with appropriate campaigns.

By sharing a sync instruction, Impactive picks the first valid API key from the child campaign and syncs data back to NGP VAN.

Note, Impactive does not recommend sharing sync instructions to child campaigns with multiple API keys. This complicates syncing data back to NGP VAN. Instead, we encourage child campaigns to create their own sync instructions natively in Impactive.

Child campaigns can find the newly shared sync instruction in the Data > Integrations sidebar tab in their campaign. Shared sync instructions appear with the parent campaign’s name listed in the Shared by column.
